About the Role

Southern Design Companies is seeking a Project Coordinator to keep our projects running smoothly from order to payment. This role is responsible for managing customer files, coordinating schedules between field teams and customers, and owning the billing and collections cycle.


As a Project Coordinator, you'll be the organizational backbone behind our field operations. You'll work closely with field employees, customers, and internal teams to make sure every detail is accurate and every follow-up is handled.


This role is a great fit for someone who thrives on structure and routine, takes pride in getting things right the first time, and is persistent with follow-up. We'll train the right person in SDCo processes.


Major Tasks, Key Responsibilities, and Key Accountabilities:


Project Administration

  • Organize and maintain customer files using project management software

  • Receive customer sales orders and process them through QuickBooks

  • Pull and reconcile data across multiple technology platforms


Scheduling & Field Coordination

  • Communicate with field employees to confirm project details and scheduling

  • Coordinate logistics to keep projects moving efficiently

  • Identify and resolve scheduling issues before they affect the job


Billing & Revenue Cycle

  • Create sales orders and invoices accurately and on time

  • Manage billing, post customer payments, and reconcile accounts

  • Follow up on outstanding balances and support timely collections


Customer Communication

  • Keep customers informed about scheduling, logistics, and project status

  • Serve as a responsive, professional point of contact for customer questions

  • Perform other related duties as assigned


Requirements

What We're Looking For
  • High school diploma or equivalent (Bachelor's degree in a related field preferred)

  • Proficiency in Microsoft Excel

  • Comfort working in and pulling data from multiple software platforms

  • Strong organizational and time management skills with a proven ability to meet deadlines

  • High attention to detail and a habit of double-checking work for accuracy

  • Clear and professional written and verbal communication in English

  • Punctuality and dependability


What Sets You Apart
  • Experience with QuickBooks or project management software

  • Background in billing, accounts receivable, or customer service

  • Persistence with follow-up and a strong sense of ownership

  • Ability to stay organized and composed while multitasking

  • Bilingual (a plus, not required)
