About the Role

We are seeking a highly organized and proactive Administrative Assistant to join our team. This role involves overseeing office and yard management, managing accounts receivable and payable, coordinating purchasing activities, and providing administrative support to ensure smooth daily operations.

Major Tasks, Key Responsibilities, and Key Accountabilities:


Office/Yard Management:

  • Building Repairs

  • Maintenance and Janitorial Services

  • Office Supply Stock

  • Locates and Re-stakes

  • Roll-Off Container Delivery

  • Subcontractor Schedule Verification

  • Manage Division IT Services

  • Direct Delivery Drivers as Needed

Accounts Receivable:

  • Check Builder Portals Multiple Times Daily for New PO’s, Schedule Updates, and PO Completion

  • Create Customer Estimates & Sales Orders

  • Enter New Purchase Orders, Sales Orders, Pick Tickets, Drawings

  • Complete Customer Invoicing Daily

  • VPO Estimate Creation & Tracking Including Additional Billables, Repairs, and Warranty

  • Organize, Audit, & Invoice all Maintenance Jobs (Create Google Doc or FFF)

  • Run Profit & Loss by Job for Every Job Completed

  • Weekly Monitor and Collect Past Due Receivables

Purchasing:

  • Receive Bills of Lading for Deliveries

  • Receive Sod Deliveries and Reallocate Sod to Appropriate Lots as Necessary

  • Accounts Payable:

  • Enter Vendor Invoices and Utility Bills

  • Enter and Properly Code Credit Card Charges

  • Enter Subcontractor Labor Daily-Cross Reference to Schedule and Subcontractor Invoice

  • Compile Subcontractor Pay Weekly Each Wednesday Using Schedule and Payables Entries

Requirements

  • Knowledge of construction and landscaping processes, materials, and terminology

  • Effective time management skills with a proven ability to meet deadlines

  • Proficiency in MS Office Suite and construction management software

  • Versatility, flexibility, and a willingness to work within changing responsibilities with enthusiasm


Education and Experience:

  • High school diploma or equivalent; associate's or bachelor's degree in construction management, agriculture, horticulture, or related field preferred

  • Previous experience in construction or similar role is preferred
